Primary Responsibilities

  • Alternative Accommodations Coordinator will arrange, manage and coordinate all aspects of ABODA by Reside’s short term accommodations portfolio and solutions to meet all client expectations, as well as manage and coordinate any additional services attributed to alternative accommodations.
  • Research and book hotel reservations for ABODA by Reside. This includes hotel reservations for all ABODA markets and Global needs.
  • Assist clients with new reservations, transfers, changes, and cancellations.
  • Working with LodgingIQ or other hotel booking partners and platforms, facilitate domestic hotel reservations in accordance with ABODA by Reside standards and procedures.
  • Research and booking international hotel reservations in accordance with ABODA by Reside standards and procedures.
  • Daily, follow up on all active leads and move through the appropriate statuses in the CRM pipeline.
  • Support and monitor global distribution system (GDS) queues, Windsurfer, as it pertains to non Puget Sound reservations. This includes auditing reservations against invoicing for accuracy.
  • When applicable, send clients/guests arrival/departure information.
  • When applicable, confirm client/guest billing information with booked accommodations.
  • Assist Reservationists in updating Windsurfer with loading Puget Sound properties when needed.

Additional Responsibilities

  • • Using and other portals, maximize opportunity to fill vacancy of ABODA by Reside core inventory for Puget Sound Market. Add inventory and monitor inventory in the associated portal(s), audit invoicing for payment against Oscar. Manage cancellations in the portal to avoid commission charges for no-shows and cancellations.
  • Manage and coordinate any additional services in conjunction with ABODA by Reside’s alternative accommodations.
  • Receive incoming hotel leads via phone or email distribution, evaluate the customer need and source options in a timely manner (2-24 hours based on location).
  • Maintain positive relationships with ABODA by Reside’s suppliers and hotels, partners and co-workers.
  • Document customer and/or client correspondence and conversations in Oscar Notes and CRM.
  • • Assist with IATA tracking and reconciliation of owed commissions.
  • Work with your manager to identify client trends and opportunities.
  • Assist with hotel RFI’s and RFP’s, • Assist with weekly and monthly reporting as requested
  • Follow all requirements as outlined in Client SOW (statements of work) and Client Agreements in accordance with department policy
  • Maintain an organized clean work environment, assist with other duties and/or other departments as needed, overtime on weekends and evenings will be required during peak times and throughout the year, attend and participate in scheduled meetings and training.

Knowledge, Skills and Qualifications

  • Professional experience in the travel or hospitality industry
  • Experience with the GDS, or any OTA platforms
  • Proficiency with Microsoft Office 365

Education, Training and Certification

  • High School Diploma
  • Associate’s or bachelor’s degree in business, hospitality or a related field
